Free Transcript Eligibility
Butler students graduated or graduating-you are permitted up to five free official transcripts from the time you filed for graduation until one year after you graduate. Your graduation date is the date you complete your program, not the date of the ceremony.
- Current Butler students who need a transcript sent directly to a scholarship agency. If you can’t have your transcript directly sent to the agency, see our FAQs below for other options.
- Current Butler students who are studying abroad through Center for Global Education (CGE) or Institute for Study Abroad (IFSA).
- Current Butler students applying for Pharmacy Licensing
- Current Butler students who are applying for Butler’s Pharmacy program through PharmCAS
- Current students enrolled in the Shortridge Early College Program.
Butler staff cannot email either your official or unofficial transcript because email is not secure. If you need to have your transcript sent to an email address, you MUST order it through the National Student Clearinghouse, where it can securely be sent electronically to an email address. Complete the Free Transcript Request Form and upload it in your order as an attachment. If you need to submit other forms with your transcript, you may upload them as a pdf into your order, as well. If you forget to upload the attachment into your order, contact Registrar@butler.edu to cancel your order so that you can resubmit it with the free transcript form attached. We must have the attachment in the order, so that our processors know to reduce your transcript fee of $9.50 before your credit card is charged. You will be charged a $2.90 processing fee. If you are having your transcript mailed to a mailing address (not to an email address) submit the Free Transcript Request Form by one of the following options:
- By email, attaching your completed request form with your legal signature to Registrar@butler.edu (this is the preferred method)
- In person at Jordan Hall 180 during office hours; appointments preferred (please bring a picture ID)

Butler graduates applying for admission to another Butler program through Butler’s Office of Admission do not need to request a Butler transcript through Registration and Records. The Office of Admission can access your Butler transcript.

If you have an email address for the recipient of the college/organization to which you are applying, you can order your free transcript to be sent electronically through the National Student Clearinghouse. You will be charged a $2.50 processing fee, but we will reduce the $9.00 transcript fee when we process the order. The advantage to this is that many colleges/organizations are set up to receive transcripts directly to their secure ftp site, so the transcript link doesn’t expire. If you would like to order through the Clearinghouse, complete the Free Transcript Request Form, save it as a pdf, and then click here to start your order. You will have the option to upload attachments during your order, and this is where you can upload the free transcript pdf. We will see the attachment and reduce the $9.00 transcript fee before your credit card is charged. We are unable to produce an Electronic Transcript for Butler students who attended prior to 1984 or Institute for Study Abroad (IFSA) students who went abroad prior to August 2001.
If you need to order a transcript to upload to a website, you may order either a paper or electronic transcript, if eligible.
- If you order a paper transcript, you will need to either scan or take a picture of the transcript, save it as a pdf, then upload it to the site. There are many phone apps available that will scan documents to pdfs. Note: scanning a paper copy of your official transcript to upload for applications will result in a “void” watermark printed in the background, due to the design of our secure transcript paper. If the recipient has an issue with this, we are happy to mail a paper copy.
- If you prefer to order an electronic transcript, place your order through the National Student Clearinghouse and list your email in the recipient email field. You will be charged a $2.50 processing fee, but we will reduce the $9.00 transcript fee when we process the order. If you would like to order a free electronic transcript, complete the Free Transcript Request Form, save it as a pdf, and then click here to start your order. You will have the option to upload attachments during your order, and this is where you can upload the free transcript pdf. If you order an electronic version, be aware that when you receive the link and password to open the transcript, due to security features you won’t be able to save the transcript as a pdf. Instead, you will need to print the transcript and scan it as a pdf to save it. For electronic transcript orders processed prior to July 28, 2020, the link to open the transcript expires 45 days from the date your order is processed. The link for electronic transcript orders processed after this date will not expire. The word “copy” will appear as a watermark in the background of the printout due to the Clearinghouse security settings. If you are applying for a scholarship and need to order an electronic transcript to be sent to you for the purpose of uploading it to the scholarship website, you can order your free transcript through the National Student Clearinghouse. You will be charged a $2.50 processing fee, but we will reduce the $9.00 transcript fee when we process the order. You will also need to upload a screenshot of the scholarship application email or site to which you are applying. If you would like to order through the Clearinghouse, complete the Free Transcript Request Form for free transcripts, save it as a pdf, and then click here to start your order. You will have the option to upload attachments during your order, and this is where you can upload the free transcript pdf and supporting document that it is for a scholarship. We will see the attachment and reduce the $9.00 transcript fee before your credit card is charged. If you are ordering a paper copy and don’t want to be charged the Clearinghouse $2.50 processing fee, complete the Free Transcript Request Form and submit it with a screen shot of the scholarship application letter to Registrar@butler.edu. When you receive the paper transcript, you will need to either scan or take a picture of the transcript, save it as a pdf, then upload it to the site. If you qualify for a free transcript, but need to have it mailed overnight through FedEx Express or USPS Priority Express, you will need to order it through the National Student Clearinghouse. You will be charged a $2.50 processing fee and an additional $15.00 overnight delivery fee, but we will reduce the $9.00 transcript fee when we process the order.
