Data Privacy & Governance Classification
Butler Information Security establishes four distinct categories of institutional data. Understanding these categories ensures you never share protected information with unapproved AI systems:
- Public: Information available to anyone (e.g., public website content, press releases).
- AI Usage Rules: May be used with any GenAI tool without approval.
- Internal: Generally available to all individuals affiliated with Butler (such as directory information).
- AI Usage Rules: May only be used with security approved AI tools, and only when absolutely necessary. Efforts should always be made to avoid using sensitive information with GenAI tools, or to anonymize data when possible.
- Restricted: Only available to some Butler employees on an as-needed basis depending on job functions (such as salary or student conduct information).
- AI Usage Rules: May only be used with security approved AI tools, and only when absolutely necessary. Efforts should always be made to avoid using sensitive information with GenAI tools, or to anonymize data when possible.
- Critical: Legally protected information which is only available to a very limited set of Butler employees depending on job functions (such as SSN or banking information).
- AI Usage Rules: May never be used with any GenAI tool.
