Rentals and Reservations

We have multiple rooms and activity spaces available to rent by Butler students, faculty/staff, alumni, and external groups. The rates for each room and/or activity space and services are listed below.
- All other event requests need to be submitted at least two weeks before the date of the event. The farther out a rental request is submitted, the greater the likelihood of availability.
- The facility rental request does not guarantee that the dates and times requested are available or confirmed.
- Arrangements for the fee payment, entrance to our facilities, and other considerations will be communicated from the Office of Recreation & Wellness as a part of your rental agreement.
- Please allow up to 5 business days to either confirm or deny a request. Some event requests may require more information or details, and more time may be needed. You are strongly encouraged to submit your rental request as far in advance as possible.
- Facility Rental Requests submitted during breaks, weekends, and holidays will not be processed until our staff returns to the office.
Internal Rental Requests
All internal groups (i.e., Butler faculty, staff, and student organizations) should use EMS to request a RecWell rental space.
External Rental Requests
If you are an external group interested in reserving a space, please fill out our Facility Rental Request Form. Due to high demand and limited space for external groups, your request may be denied. Requests must be submitted at least two weeks in advance. External groups are required to:
— Sign a Rental Contract
— Sign a Rental Agreement
— Provide a Certificate of Insurance (COI) naming the university insured for a $2 million minimum
—Have each guest sign an assumption of risk and liability waiver

Butler University and The Office of Recreation & Wellness reserve the right to make any changes deemed necessary to your rental agreement.
Alcohol and other intoxicants are prohibited at all Recreation & Wellness facilities without express permission from the Director of Recreation & Wellness and BUPD.
Each group that reserves an area is responsible for leaving the area in the same condition as they received it.
The renting organization is responsible for the payment of repairs for any damages that may occur to the facilities, equipment, and property.
Butler University also does not warrant or guarantee in any respect the physical condition of any equipment used in connection with the activity. Therefore, in consideration of the benefits received from the recreation program, the undersigned assumes all risks of damages or injury, including death, which may be sustained while participating in this activity or in travel to or from such activity.
All rental groups will be expected to follow the guidelines below:
- Abide by all facility rules and regulations of the Department of Recreation and Butler University.
- Participate in activities according to the RecWell’s Informed Consent Statement.
- Coordinate group admittance into RecWell spaces.
- Be responsible for the conduct, behavior, and location of all members of the group while using the RecWell programs and spaces.
- Stay in the designated areas outlined in the rental agreement. Persons found in areas designated as off-limits will be asked to leave.
- Not misuse RecWell equipment or disregard staff or safety instructions. Persons or groups misusing equipment or non-compliant to safety rules or instruction will be asked to leave the facility and will be billed for any damages.
