You can find this platform in My.Butler.Edu &gt; Oracle Employee &amp; Financials.<\/li>\n\n\n\n<li>The <strong>first step in the hiring process<\/strong> is to create a job requisition. See our <a href=\"https:\/\/butleru.sharepoint.com\/:w:\/r\/sites\/ButlerSharedFiles\/_layouts\/15\/Doc.aspx?sourcedoc=%7B034DED1C-D312-4FD8-8248-44A6E9C3007A%7D&amp;file=Initiate%20Student%20Job%20Requisition%2C%20Job%20Aid.docx&amp;action=default&amp;mobileredirect=true\" target=\"_blank\" rel=\"noreferrer noopener\">Initiate Student Job Requisition Job Aid<\/a> for the steps.\n<ul class=\"wp-block-list\">\n<li>For this requisition you will need to have a <strong>NEW<\/strong> Position Number corresponding to whether the student\u2019s job is funded through standard dept funds or grant or gift funds. <em>Reach out to Lorraine Vavul to get the correct position number.<\/em><\/li>\n\n\n\n<li>Additionally, you will need to have a job description to add to the requisition. It can be a simple job description or a more detailed one. For your reference, here is a copy of a <a href=\"https:\/\/cdn.butler.edu\/www\/sites\/8\/2025\/01\/08101749\/Student-Job-Description-Template-Example.docx\" target=\"_blank\" rel=\"noreferrer noopener\">sample detailed job description<\/a> and a <a href=\"https:\/\/cdn.butler.edu\/www\/sites\/8\/2025\/01\/08101749\/Student-Job-Description-Template-Blank.docx\">blank template<\/a>.<\/li>\n\n\n\n<li>Once you save and close, you cannot edit the requisition. We are attempting to get this feature fixed. Student Employment can edit the draft requisition until it is finalized. It must be finalized by Student Employment so it can be posted or shared. &nbsp;<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>After the job requisition has been created<\/strong>, it can be either posted to <a href=\"https:\/\/fa-exer-saasfaprod1.fa.ocs.oraclecloud.com\/hcmUI\/CandidateExperience\/en\/sites\/CX_1001\/requisitions?lastSelectedFacet=POSTING_DATES&amp;selectedPostingDatesFacet=30\">the new student on-campus job board<\/a> or a specific student can be sent a link to apply for the job.<\/li>\n\n\n\n<li><strong>Subsequent steps<\/strong> in the hiring process are outlined in the <a href=\"https:\/\/cdn.butler.edu\/www\/sites\/8\/2025\/01\/08101749\/Application-Hire-Student-Managers-1.docx\" target=\"_blank\" rel=\"noreferrer noopener\">Process Document<\/a> for supervisors, students and the Office of Student Employment.<\/li>\n\n\n\n<li>Here is a quick job aid you can share with your students on how to enter time: <a href=\"https:\/\/butleru.sharepoint.com\/:w:\/r\/sites\/ButlerSharedFiles\/_layouts\/15\/Doc.aspx?sourcedoc=%7B73F240C3-32F1-488D-A472-F9C6B0D36BCD%7D&amp;file=Time%20Entry%2C%20QRG.docx&amp;action=default&amp;mobileredirect=true\" target=\"_blank\" rel=\"noreferrer noopener\">Time Entry, QRG<\/a><\/li>\n\n\n\n<li>If a student works <strong>more than 12 hours<\/strong> across all campus jobs within a two-week pay period, their timesheet will need to be <strong>manually approved<\/strong> and will come to the supervisor of each position the student holds. &nbsp;<\/li>\n\n\n\n<li><strong>New Hires to the University<\/strong> will now complete their new hire paperwork (tax and I-9 Federal Verification) during their First Day Student Journey, ideally at the beginning of their first shift with you.\n<ul class=\"wp-block-list\">\n<li>If you have a position that does not allow you to be near a computer, consider using a start day one day prior to their first shift so that they can complete these new hire documents.<\/li>\n\n\n\n<li>As a part of the I-9 process, students will <strong>upload their acceptable form(s) of ID <\/strong>when they complete the electronic I-9. The student will STILL need to <strong>show this physical ID<\/strong> to Lorraine Vavul in the Office of Student Employment \u2013 Jordan Hall Room 184. This should be done the first day of their employment, if possible, but MUST be done by day three of their employment so that we can keep in compliance with federal requirements.<\/li>\n\n\n\n<li><strong>Remote options<\/strong> for identity checks are available to those students who do not have a physical copy of their form of ID with them, but this is a slower process. We apologize for any confusion or inconvenience in the meantime.<\/em><\/p>\n\n\n\n<hr class=\"wp-block-separator has-text-color has-theme-primary-color has-alpha-channel-opacity has-theme-primary-background-color has-background is-style-wide\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-digital-paperwork\">Digital Paperwork<\/h2>\n\n\n\n<p>In an effort to streamline the hiring of student workers new to University employment as well as reduce paper costs, we are utilizing a digital-first process. <strong>If at all possible, please encourage your student hires to electronically complete this paperwork.<\/strong><\/p>\n\n\n\n<p>Supervisors should direct Student Hires to complete online their HR policy acknowledgement form and federal W-4 and state WH-4. For the final piece of New Hire paperwork\u2014the I-9 Federal Employment Eligibility Verification\u2014we are reverting the pre-pandemic practice of Supervisors completing the I-9 for <em>first-time<\/em> University hires. Supervisors are welcome to refer any of the more complicated I-9 forms (for Non-Citizens, Permanent Residents, or Authorized Aliens) to Student Employment Coordinator Lorraine Vavul in Human Resources. The completed I-9 along with the accompanying color copies of the student\u2019s ID can then be sent via inter department campus mail to the attention of Maya Speed in HR (Jordan Hall, Room 184C). Instructions can be found further below under \u201cNew Hires.\u201d<\/p>\n\n\n\n<p>Remember:&nbsp;<strong>federal law requires all documents to be submitted&nbsp;<\/strong><em><strong>before<\/strong><\/em><strong>&nbsp;your student employee&nbsp;begins working<\/strong>. Training is considered employment.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-overview-of-student-hiring\">Overview of Student Hiring<\/h2>\n\n\n\n<p>There are four&nbsp;steps when hiring students for on-campus work. <strong>If you already have identified the student(s) you wish to hire, skip to Step 3<\/strong>:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Create or update the position &#8211; Formstack forms<\/li>\n\n\n\n<li>Promote the position and collect applications<\/li>\n\n\n\n<li>Hiring the student (submitting student&#8217;s eHire, and only if needed, completing I-9 paperwork page 2).<\/li>\n\n\n\n<li>Evaluating the student<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-1-create-or-update-the-position\">1. Create or Update the Position<\/h3>\n\n\n\n<p>If you&#8217;re unsure from which budget your student wages should be pulled\u2014the &#8220;account (department ID)\/combo&#8221; numbers\u2014please contact the budget manager in your department or office.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-new-positions-new-position-qualtrics-form\">New Positions (New Position Qualtrics Form)<\/h4>\n\n\n\n<p>If the position you&#8217;re hiring for is brand new and doesn&#8217;t yet exist<strong>, <\/strong>please&nbsp;<a href=\"https:\/\/butler.qualtrics.com\/jfe\/form\/SV_8Jqai6zMbbZLVDU\" target=\"_blank\" rel=\"noopener\">complete the New Position&nbsp;Qualtrics form<\/a>.&nbsp;You&#8217;ll receive a four-digit Position Number from Human Resources within 1\u20132 business days. Hiring the Student<\/h3>\n\n\n\n<p>Once you have selected a student&nbsp;you would like to hire and are ready to send them a tentative offer, first determine if they&#8217;re an &#8220;Existing Hire&#8221; or a &#8220;New Hire&#8221;: <a href=\"https:\/\/cdn.butler.edu\/www\/sites\/8\/2022\/07\/08101759\/how_do_i_know_if_the_student_i_want_to_hire_is_new_hire_2020.pdf\" rel=\"noopener\" target=\"_blank\">How to Determine if student is New Hire or Existing Hire<\/a>. If applicable, follow the instructions in the&nbsp;&#8220;Funding Student Wages with a Grant&#8221;&nbsp;drop-down at the bottom of this webpage.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-existing-hires\">Existing Hires<\/h4>\n\n\n\n<p>Students who currently have an on-campus position or have held one before are considered &#8220;Existing Hires&#8221; and paperwork is not needed. In these cases,&nbsp;you need only complete the eHire form in&nbsp;my.butler.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-new-hires\">New Hires<\/h4>\n\n\n\n<p>Students who&nbsp;don&#8217;t currently have an on-campus position or have never had one are considered &#8220;New Hires&#8221; and new hire paperwork is needed&nbsp;in addition to you completing the eHire form in my.butler.
