Step-By-Step Online Application System Instructions

You've done your research and have settled on a program. Confirm your application instructions below under the Application Instructions By Program Type header. Then, if you're at the stage that you need to apply or create a profile in our online application system (Terra Dotta), please follow the step-by-step Instructions for The CGE's Online Application System below. Application Instructions By Program Type

 

SEMESTER
  • Faculty-Led Butler Semester in Spain (application typically due on February 1 for the following fall semester) - You will complete an online Butler Semester in Spain application in our online application system.
  • Faculty-Led GALA (application typically due at the beginning of April for the following spring semester) - You will complete an online GALA application in our online application system.
  • ISEP Exchange (internal application deadline of February 8 for the following fall semester and August 25 for the following spring semetser) – complete your application through the ISEP website. Once you are placed into your program, you will create a secondary “application” (profile, really) on our online application system for the program in which you have been placed. All pre-decision materials must be completed in our online application system by April 1 for the following fall semester and November 1 for the following spring semester. All post-decision materials must be completed in our online application system by April 10 for the following fall semester and November 10 for the following spring semester.
  • Butler University Exchange (application deadline February 15 for the following fall semester and September 15 for the following spring semester) – You will complete an online Butler University Exchange application in our online application system.
  • 3rd Party Provider Programs (i.e. IFSA-Butler, IES Abroad, Spanish Studies Abroad, etc. Application deadlines vary, so please refer to specific providers and programs for their deadlines.) – complete your application through the provider by their deadline. Once you are accepted into your program, you will create a secondary “application” (profile, really) on our online application system for the program into which you have been accepted. All pre-decision materials must be completed in our online application system by April 1 for the following fall semester and November 1 for the following spring semester. All post-decision materials must be completed in our online application system by April 10 for the following fall semester and November 10 for the following spring semester.
SUMMER
  • Faculty-Led Summer Programs (application deadlines vary, so please refer to specific programs) - You will complete an online, program-specific application in our online application system.
  • 3rd Party Provider Summer Program (i.e. IFSA-Butler, IES Abroad, Spanish Studies Abroad, etc. Application deadlines vary, so please refer to specific providers and programs for their deadlines.) – complete your application through the provider by their deadline. Once you are accepted into your program, you will create a secondary “application” (profile, really) on our online application system. You'll "apply" for the 3rd Party Provider Summer Program. All pre-decision materials must be completed in our online application system by April 1 for the following summer term. All post-decision materials must be completed in our online application system by April 10 for the following summer term.

**All secondary "applications" (for ISEP and our 3rd Party Provider partners) have two deadlines per semester.**

 

 

Instructions for The CGE's Online Application System

  1. Go to http://global-education.butler.edu/. Click on the Programs tab to find the program to which you want to apply.

  2. Choose how you would like to search:

    1. Simple Search: If you are looking for a program based on location, term, city, country, and/or region, then select your search criteria on the first page and click "Search."
    2. Advanced Search: If you are looking for a program based on area of study, type of program (3rd Party Provider, Exchange, or Faculty-Led), language learning opportunities, language pre-requisites, etc., click the "Advanced Search" tab at the top of the page select your search criteria and click "Search."

  3. Find the program to which you want to apply. On that program's brochure page, click Apply Now.

  4. Click OK to start an application.

  5. Click I have a my.Butler username and password, then Submit.

  6. Input your Butler username (just the username, do not use @butler.edu) and password. Click Login.

  7. Select the term to which you are applying, and then click Apply.

  8. Now you will see your application checklist! (Woo!) Before you get started on your application, add a few details to your Profile. On your Applicant Home Page, click Edit Profile. Add an ID Photo and, if you would like, you can also add in a short bio and your cell phone number.

  9. Fill out the application components by clicking on the pink hyperlinks and reading/completing each section. As parts are finished, you will see checkmarks to indicate complete items. Not all applications will have all of the following components, but a typical application is composed of the following:
    1. Signature Documents: These are items to read and e-sign, which acknowledges that you read them. Read these carefully. As you e-sign them, they will check off automatically.
    2. Application Questionnaire(s): These are online questionnaires that ask for certain information from you, or they will ask you to upload certain documents.
    3. Material Submissions: These are documents or deposits that you must turn in to the CGE in physical or electronic form. When the CGE receives your document or deposit, a staff member will check off that material.
    4. Recommendations: You can either 1. Use the Directory Lookup to search for anyone with a Butler login (i.e. faculty members, staff members, etc.) to request they complete a recommendation for you or 2. Use Manual Entry to request that someone who does not have a Butler University login complete a recommendation for you. Whether you use the Directory Lookup or the Manual Entry, your recommender will receive an email from the online application system and be prompted to complete their recommendation. When your reference has submitted the recommendation, it will be automatically checked off on your application checklist.
      **The CGE HIGHLY recommends contacting your recommender(s) in-person or via email before submitting a recommendation request through the online application system. Once you have done that, you can send over the recommendation request using the previous instructions.**
       
  10. Once you have completed all of the components of your application, you must click Submit Application.

  11. You can exit out and finish your application at a later date. To re-login, click Login in the upper right-hand corned of any page.

  12. When you re-log in, you must click on the pink program name on the upper left side of your applicant homepage in order to see your application checklist for that specific program. IF YOU ARE APPLYING TO A BUTLER EXCHANGE, this area on your applicant homepage is also where you can RANK your program options (we recommend creating an application for at least two Butler Exchanges and ranking them so the Associate Director for Faculty-Led Programs can place you). You rank your program options by putting a number next to each open application (1, 2, or 3) and clicking the Update Rank button. This does not apply to students applying for any program other than the Butler Exchanges.

A Study Abroad Online Application FAQ page has been created, so please check there before emailing the CGE. If you don't find the answer to your question, please let us know if there is something odd about the system or you can't log in - it's likely that it's an error and we have to correct something in the system so other students don't encounter the same issue.
