Borrowing Privileges & Circulation Policies

The collections of the Irwin Library and the Ruth Lilly Science Library are available for use by all members of the Butler community. Limited access to library materials is extended to readers and researchers outside the Butler community.

Library materials may be used in the libraries, or they can be borrowed using a Butler ID card or a Special Borrower's library card. For more information please select from the list below.

To monitor your due-dates or to renew your materials online log into My Library Card.

Alumni

Butler University Alumni have the same borrowing privileges for print materials as currently enrolled students. The only requirement to receive these privileges is to acquire an Alumni ID card and then fill out a Special Borrower's form. An Alumni ID Card can be obtained at Robertson Hall. Alumni presenting an alumni ID card also have added computer privileges in the library.

General Public

The general public may visit the Butler University Libraries and read or browse the collections. Those who live in Marion, Hendricks, Boone, Hamilton, Hancock, Shelby, and Johnson counties may receive borrowing privileges for one year for a fee of $50.

Reciprocal Borrowing

ALI/PALNI Academic Libraries

The Butler University Libraries are affiliated with the PALNI and ALI networks, and current Butler faculty, staff, and students may borrow from these institutions as well by presenting their Butler University ID cards. To borrow from ALI institutions, Butler users will also need an ALI card, which can be acquired at either the Irwin Library or the Science Library circulation desks.

Loan periods, penalties, and general borrowing policies are determined by the lending libraries.

Indianapolis Public Library

Butler University students are also eligible for a temporary library card at IndyPL. Students may complete an application at any branch location and must provide a photo ID and proof of residency (e.g. a piece of mail).

 

Equipment

Camcorders and Microphones

The Irwin Library has 6 standard camcorders, 3 high definition camcorders, two wireless microphones, and several tripods available for check-out at the circulation desk. The equipment can leave the library and has a 7-day circulation period. Items are available on a first-come, first-serve basis and have no renewals. Patrons should charge camcorders and clear memories before returning the equipment.

iPads

The Irwin Library has 3 iPads and 2 iPad 2s available for check-out at the circulation desk. The Science Library has 2 iPad 2s available. These devices may leave the library and have a 48-hour circulation period. iPads are available on a first-come, first-serve basis and have no renewals. Patrons should not delete library-installed applications. When iPads are returned, circulation staff will reset the devices to library settings.

Laptops

Loaner Laptops

Both the Irwin Library and the Science Library have Dell laptops and Apple Macbooks available for checkout to current Butler University students, staff, and faculty. These are available on a first-come, first-serve basis. This equipment can leave the library and has a 48-Hour circulation period. Loaner Laptops have no renewals.

The Irwin Library recognizes that demand for these devices can be high; as a result, patrons are required to wait 24 hours after returning a laptop before checking one out again.

Laptop Rental Program

Butler University students, staff, and faculty may rent a laptop for an extended period of time if the 48-hour laptop loaner program does not meet their needs. The Laptop Rental program has the following devices available:

All rentals include the device, a power cord, and a carrying bag.

Those wishing to rent a laptop must make a reservation at least 24 hours in advance, otherwise devices are available on a first come, first serve basis. Costs for laptop rental are $25/week (7 days) and $75/month (4 weeks), and payment is due at the time the reservation is made. Devices not returned on time will be assessed with at $10 late fee per day overdue. In addition, patrons disregarding due dates may lose laptop borrowing privileges.

Borrowers will be responsible for any damage or loss that occurs to the device during their rental period. Fees for damage or loss will be assessed through Student Accounts and may be as much as $1700.

Other Equipment

The Irwin Library has a digital camera and an Edirol recorder available for check-out at the circulation desk.

The digital camera has a 48-hour loan period and may leave the library. It is available on a first-come, first-serve basis.

The Edirol recorder has a 3-day loan period and may leave the library. It is available on a first-come, first-serve basis.

Overdue Notices, Late Fees, & Replacement Fees

As a courtesy, students with late fees are notified by e-mails before bills are sent to Student Accounts. All late fees for computer devices and equipment are billed at $10 per day for items that are overdue. To ensure a timely return of devices and to avoid late fees, students are encouraged to monitor their due dates via My Library Card.

Replacement fees for camcorder and microphone equipment or parts are billed based on the cost of the item and may cost up to several hundred dollars.

Printing, Photocopying, & Fax Services

Printing Services

Butler faculty, staff, and students may print in the Butler University Libraries. See the IT Printsmart page for more information.

Alumni, guests, and special borrowers may not print. Guest users may save documents to a flash drive or attach files to an email. Ask Information Commons staff for assistance if necessary. 

Color Printing

Color printing may be done at Irwin Library and the Science Library. Color print jobs are $.25/page and are released by a staff member once sent to the printer and paid for.

Photocopying Services

Butler faculty, staff, and students may photocopy using the library copy machines in public areas. Simply swipe your Butler ID card at the machine to gain access.

Guests and alumni may photocopy for $.20/page. To use library copy machines, see a staff member with the document(s) to be copied. Guests and alumni must pay for the copy jobs in advance for the credit to be applied to the library copy card.

Copy machines are also equipped to scan and email at no cost. Patrons are encouraged to use this feature.

Special Collections, University Archives, and Rare Books Photocopying

Due to their nature, materials in special collections, rare books, and university archives are governed by a different set of standards. Please see their service guidelines for more information.

Fax Policy

Sending

  • The fax machine is only for CURRENT Butler Students, staff, and faculty to send faxes. Verification: Patrons will need to show their ID card or be looked up in the ALEPH system.
  • Patrons are REQUIRED TO WAIT for their fax to be processed. Due to privacy concerns we cannot allow patrons to leave a fax and come back for it later.
  • We do not charge for any faxes. This includes long distance or international faxes.
  • A confirmation page will print out at the end of the fax and can be given to the patron.
  • The number of pages sent in one request and the number of fax numbers sent to are subject to staff discretion (i.e., desk staffing, pending assignments, etc). A good rule of thumb is one large mutli-page fax (10+ pages) to any one fax number or a small fax (approximately five pages) to no more than five different fax numbers.

Receiving

  • Faxes can be sent to (317) 940-9498 (Irwin Library Circulation Desk) or (317) 940-9519 (Science Library).
  • The intended recipient of the fax should be clearly noted.
  • Circulation Staff will notify the recipient of a fax via email.
  • Once notified, the recipient will have 48 hours to pick up their fax from the circulation desk. Faxes not picked up within 48 hours of notification will be shredded.
  • Please contact the circulation desk at (317) 940-9227 (Irwin) or (317) 940-9401 (Science) with any questions or to confirm a fax has been received.

Interlibrary Loan

For materials not owned by Butler University Libraries, Interlibrary Loan may provide access. Current students, faculty, and staff may use ILL to request titles not available at Butler. See the Interlibrary Loan page for more information.

Thesis Binding

Show

Graduate students needing their thesis bound are asked to follow these guidelines:

  • Students must supply ALL copies to be bound. The library will not make copies and will retain the thesis with the original signature page. The library will pay for the binding of this copy only.
  • Students must fill out a Thesis Binding Request Form available from the Irwin Library Circulation desk or the Honors Program Coordinator.
  • Paper requirements for your thesis should be high quality copier paper that is acid free. Please use only laser printers to prevent ink smudging and/or transfer. Theses are bound as presented. Library staff does not check for mistakes.
  • Mailing information for personal copies should be a permanent address. Students will receive one copy of the form as a receipt.
  • Effective Academic Year 2013-2014, personal or departmental copies cost $15.00 per copy which includes shipping and handling. Payment must be made prior to binding.
  • Binding should take approximately 4-8 weeks from the time they are turned into the library, barring returns for corrections.
  • If your thesis is in print format, please submit it to the Circulation Desk at Irwin Library, care of Laina Ridenour.
  • If your thesis is a CD or DVD and recital program, please submit them to Sheri Stormes (the Music and Fine Arts Librarian), who is located in the Irwin Library.
