BUmail Extended: Features and Tips
Welcome to BUmail! Below are some features and tips to help you
get the most out of Butler's new email and calendaring system. This
page only applies to the Extended version of BUmail Web Access.
Google Chrome, Firefox, and Safari are now fully supported for
BUmail Extended use.
Messaging
- If you don't know the email address of a Butler contact, simply
type their name into the TO:/CC:/BCC: and click Check
Names. If you don't know their exact name, just type in
the first few letters and click Check Names. This
will display a suggestion box of possible names. To use "Check
Names" with multiple contacts, separate each contact with a
semicolon.
- By default, BUmail Extended hides the BCC: field. To enable
this field on the message you are composing, click
Options and then click Show
Bcc.
- BUmail Extended can check your spelling! After composing a
message, just click the Check Spelling button. This will underline
misspelled words in red. You can then right-click on the misspelled
words and choose the correct spelling.
- By grouping messages from a single conversation together, the
new conversation view enables you to quickly identify the most
recent messages and the chain of responses.
- Outlook Web App now delivers instant messaging functionality
through the client. You can choose to connect Outlook Web App to
Microsoft Office Communications Server, enabling your users to see
the presence indications of others and quickly decide whether to
use e-mail or IM.
Calendaring
BUmail can help you organize your busy life! To view your
calendar, press the "Calendar" button. To create a new event, click
the Down Arrow next to the "New" button and select
Appointment. Here you can put in the details
of your event, including making it "Private". If you make your
calendar viewable by others, "private" hides the details and name
of your event (just shows up as "busy" to others), while letting
you still see the details of your event.
You can make your event reoccur on certain intervals. Just press
the "Reoccurrence" button at the top of the Appointment window and
select the interval.

Scheduling
With BUmail, you can now schedule meetings with anyone in the
university instantly-with no emailing back and forth or paper
sign-up sheets.
- In your Calendar window, press the down arrow
and then click New Meeting Request
- Here you can add the name of your meeting attendees, putting
them in either the Required or Optional fields
- Just like when composing a mail message, you can use the
Check Names and Most Recent
Recipients features to select people
- Select a date around when you would like the meeting and then
press the Scheduling Assistant button
- The Scheduling Assistant allows you to quickly find a meeting
time that is free on all attendees' calendars, including your
own
- You can select the duration of your meeting and if you want to
view only working hours (To adjust your working hours, select
the Options tab in Outlook.
Select Calendar from the dropdown menu, and
then select Calendar work week)
- The Scheduling Assistant will show the availability of all
attendees at each time slot. Click on a time that works and then
click the Appointment tab at the top of the screen to switch back
to the Appointment window. The time that you selected in the
Scheduling Assistant will automatically be set in the Appointment
window
- Add an optional message and then click Send.
The appointment will automatically be added to your calendar and
sends a request to the other attendees for them to either accept or
decline. Scheduling works best when all attendees' calendars are up
to date
Contacts
BUmail lets you easily manage and use your contacts. To manage
your contacts, press the "Contacts" button.
The Contacts page shows your personal contacts only. To view the
Butler Global Address Book, click the Address
Book button at the top of the BUmail window.
Send an email or meeting request to a contact by right-clicking
on their name. Note: You can hold down the Control key and select
multiple contacts and then right-click to send an email or meeting
requested to all selected.
Create a new contact by pressing New. Here you
can enter the details for your new contact. Be sure to add a
Display Name for your contacts. This is what will show up when you
search for a contact or use the "Check Name" feature.
Search for a contact by using the "Find Someone" box at the top
of the BUmail window. This will search your personal contacts as
well as the Butler Global Address Book.

Out of Office Assistant
Going to be away from your email for a while? Use the
Out-Of-Office Assistant to automatically send a customized message,
indicating you are away, to those who send you an email.
Go to Options and then select Out of
Office Assistant
Here you can set an out-of-office reply for members within the
organization (anyone with a @butler.edu address) and a separate one
for people outside of the organization (non @butler.edu
addresses).
