Accessibility Services for People with Disabilities ~ Show Information

Clowes Memorial Hall is fully accessible to guests using wheelchairs and has access to the upper terraces via elevators.  Accommodations for those who are hearing impaired will be provided in the form of an American Sign Language interpreter.  Please inform us of your attendance at (317) 940-9570, and we can direct you to an area within close proximity of the interpreter.  PESH, which amplifies stage dialogue for guests seated anywhere in the theater, is available on a first-come basis at the Information Desk located in the theater lobby.  A photo I.D. or credit card will be required as security.

Faculty ~ Show Information

Academic Regalia

Renting:
The deadline for renting faculty regalia (pdf) is Friday, Nov. 8th. After this date Jostens cannot guarantee delivery. Please print off the rental form linked above, fill it out and take it to the Butler Bookstore.

Purchasing:
For those interested in purchasing custom regalia, Jostens will host an event in the Butler Bookstore on Nov. 6, 11 a.m. - 3 p.m. and Nov. 7 from 4-7 p.m.

RSVP

Faculty are asked to RSVP to attend the ceremony by visiting http://www.formstack.com/forms/butler-winter_commencement_2013_faculty_rsvp-v3. Tickets are not required for Winter Commencement.  Seating on stage is limited. Priority will be based on the order in which we receive faculty notice of intent to participate. Additional seating for faculty will be reserved on the main floor of the theater. 

Commencement Day Instructions

Faculty are asked to assemble in the first Terrace on the west side of Clowes Memorial Hall no later than 1:15 p.m. The Faculty Marshals will direct the lineup for the processional.

Photography ~ Show Information

Personal cameras and camcorders will be allowed for the Commencement exercise, but guests will not be allowed in the area where the graduates are seated. Please be sensitive to other guests when taking photographs.

Butler University contracts with GradImages to photograph each graduate. Photos are taken of the graduates as they receive their diploma, in front of a Butler banner, and with a solid background. Graduates can pre-register their email and GradImages will contact them as their photos are available for online viewing and ordering. Up to 6 family members' contact information may be added as well to help share the good news and the photos!

GradImages will mail individual proofs within five days of the ceremony. Proofs are also available online at www.gradimages.com


GradImages is the most experienced company in the graduation photography industry and has provided this service as a specialty for over 3 decades. All film taken of each graduate will be identified and complementary passport sized proofs will be mailed to each graduate photographed within 1 - 3 days after the ceremony. The graduate's proofs will be online and viewable within 1 - 3 days after graduation.

GradImages will mail to each graduates permanent address a passport-size color proof of each photograph taken at the ceremony. The graduates and their families then have the option to order whatever additional photo package they would like. There is no prepayment or obligation to do so.

If a graduate wishes to order, it can be done by mail, phone, fax or our website via the Internet. Forms of payment include cash, check, Money Order, Visa, MasterCard, Discover Card or American Express. GradImages accepts from and mails to all countries throughout the world. Finished photographs are mailed to the customer within 7 - 10 days of receipt of an order, which to our knowledge is the fastest turnaround time in the industry.

Summary of the Ceremony ~ Show Information

Length of ceremony

Approximately one-and-a-half hours in length.

Procession

The academic procession will start promptly at 2 p.m.  Members of the graduating class will process into Clowes Memorial Hall and be seated upon reaching the reserved area.  Everyone will stand for the national anthem.  Men will remove their caps for the national anthem and put them back on immediately after.

Order of the Degree Conferral

  • Master's Degrees
  • Doctoral Degrees
  • Associate Degrees
  • Bachelors Degrees in liberal arts and sciences, education, business administration, pharmacy and health sciences,  arts and communication.

Ceremony Procedure

Graduates will be asked to stand and be presented to the president of the University for the conferral of their degrees.  At this point, it is appropriate for graduating students receiving their first degree to change their tassel from the right side to the left of the caps.  Candidates will be ushered to the stage where the president will present the degrees while the deans read the names.  Graduates walk across the stage, receive their diplomas and return to their seats in the reserved area.  Graduates receiving masters and doctoral degrees will be hooded on stage as they receive their diploma.

For Students

Commencement Eligibility ~ Show Information

Candidates for associate's, bachelor's, master's and doctor of pharmacy degrees are invited to participate in the winter commencement exercises.  A degree application should have been filed in the Office of Registration and Records, Jordan Hall 133, by September 4, 2013.  If you have not done so, come to the Office of Registration and Records immediately or submit the form degree application (PDF).

If you find it necessary to have a degree conferred in absentia, the student must make the request in writing to the Office of Registration and Records. The diploma may then be picked up at the Office of Registration and Records, Jordan Hall, room 133, after December 23, 2013. You may also contact the Office of Registration and Records at 317-940-9574 to have the diploma mailed. Requests to mail diplomas must be submitted in writing.

Students must complete all Butler University obligations (academic, financial and otherwise) prior to actually receiving their diploma.

If you will complete your academic requirements in this calendar year, you may petition the dean of your college to receive permission to participate in the commencement ceremony, but you will not actually receive a diploma.

Caps, Gowns, Hoods ~ Show Information

The bookstore will host a winter commencement event with Jostens (www.jostens.com) on November 6, 2013 from 11 a.m.-3 p.m. and November 7, 2013 from 4-7 p.m. in the Butler Bookstore. Orders for announcements and rings can be placed at this time. Caps and gowns may be purchased and picked up at the bookstore from Nov. 6 until just before Winter Commencement.   

Proper Apparel for Commencement Day

Commencement is a dignified occasion. Good academic taste requires that the cap be worn straight. The tassel should be on the right side of the cap for candidates who have not received a baccalaureate degree from any college or university. Those who have received such a degree will wear the tassel on the left side. Please dress accordingly. In selecting apparel:

  • Women should remember that the hem of the gown is approximately 7 inches above the ankles. Dark shoes are preferred.
  • For men, dark shoes and socks, dark trousers, light-colored shirts and appropriate ties are preferred. Men with a master's gown should wear a dark coat under the gown, as the arms below the elbows are visible.
  • Corsages are not to be worn on academic attire.

Suggested guidelines for student academic regalia:

  • The university approved mortar board and gown
  • One university approved sash representing the country of a study abroad experience, country of origin for international students, or a Kente cloth stole
  • One honor cord from one of Butler's recognized honor societies
  • One honor cord representing magna, summa, or cum laude honors from Butler
  • One pin, no larger than 1"x 1", approved by the PULSE office, representing their affiliation to one of Butler's official student organizations

International students and students who have studied abroad are encouraged to wear the international sash representing their home country or the country where they studied. Sashes may be ordered from Vision Wear International. Please order online via www.visionwear.com. Single country sashes are $30.95 plus shipping and handling (Priority Mail is $6.95, UPS is $10.00).  If you would like to order a multiple country sash please call  1 (800) 688-9327.  Orders must be placed before Thanksgiving break (Friday, November 22, 2013) in order to be received in time for Commencement. 

Commencement Day Instructions ~ Show Information

Candidates are to assemble in the Krannert Room located in the lower level of Clowes Memorial Hall by 1:15 p.m.  Signs will designate each college and chairs will be labeled by name.  Attendance will be taken at 1:50 p.m.

Candidates not seated in the appropriate chair by 1:30 p.m. will not have their names read during the commencement ceremony.  Honors cords will be distributed before the ceremony begins.  The Krannert Room will be unattended during the ceremony so candidates are strongly encouraged to give valuables to a friend or family member before reporting for the procession.  Please turn off mobile phones and other electronic devices.  Commencement begins promptly at 2 p.m.

Security personnel reserve the right to inspect your belongings. It may be necessary to take further precautions. Please do not bring large purses or book bags.
